1. About this Policy

We respect the privacy of everyone who engages with INSIGHT, including applicants, participants, supervisees and visitors to our website. INSIGHT is an educational and supervisory service, not a clinical practice. Although we do not provide therapy, our teaching and supervision programs involve discussion of participants’ clinical work. This Privacy Policy explains what personal information we collect, why we collect it, how we protect it, and the choices available to you. We manage personal information in accordance with the Privacy Act 1988, the Australian Privacy Principles (APPs), and our professional obligations as registered psychologists.

2. The Information We Collect

We collect only the information reasonably necessary to administer and deliver our programs. This may include:

  • Contact details (name, address, email and telephone number).

  • Professional information, including AHPRA registration, qualifications, employment and placement details.

  • Application documents, referee reports and correspondence.

  • Attendance records, supervision hours, assessments and progress records.

  • Payment and invoicing information.

  • Information required to verify registrar requirements or provide documentation requested by AHPRA or the Psychology Board of Australia.

Where appropriate, we may also collect sensitive information, such as health information that you choose to disclose in relation to your participation. Sensitive information is collected only with your consent and where reasonably necessary for our educational and supervisory functions.

3. Information about Third Parties

Teaching and supervision frequently involve discussion of clinical work. Participants are expected to de-identify clinical material wherever practicable and remain responsible for complying with their own legal, ethical and professional obligations regarding confidentiality and, where applicable, obtaining any necessary patient consent. Where identifiable third-party information is received, it is treated as strictly confidential and handled in accordance with this Privacy Policy.

4. Website Information

Our website may automatically collect limited technical information such as IP address, browser type and pages visited to help us improve the website. We also use cookies on our website. You may adjust your browser settings to limit or decline non-essential cookies. If you submit an enquiry through our website, we will collect the information you choose to provide.

5. How We Collect Information

We generally collect information directly from you through application forms, enrolment documents, correspondence, teaching and supervision. With your consent, or where otherwise appropriate, we may also receive information from referees, employers, placement supervisors or other professional contacts.

6. Why We Collect Information

We use personal information to assess applications, administer enrolments, provide teaching and supervision, maintain supervision and registrar records, communicate with participants, process payments, meet legal and professional obligations, improve our programs and respond to enquiries. We never sell or trade personal information and do not use it for unsolicited direct marketing.

7. If You Choose Not to Provide Information

If you choose not to provide information reasonably required for your application or participation, we may be unable to assess your application, provide supervision, verify registrar requirements or deliver aspects of the INSIGHT Program.

8. Recording of Supervision Sessions

To support high-quality supervision and continuity between sessions, INSIGHT may record supervision sessions using Novonote, a secure note-taking service.

  • Supervision sessions are recorded only with the informed consent of everyone participating.

  • Recordings are used solely to produce accurate supervision notes, support continuity of supervision and maintain documentation required for registrar training.

  • Participants may decline recording of any session or withdraw consent at any time without disadvantage.

  • Recordings and notes are treated as confidential and are not used for research, teaching or promotional purposes unless separate written consent is obtained.

  • Access is restricted to the INSIGHT Directors and the supervisee concerned.

  • Audio recordings are cached transiently and permanently deleted immediately after transcription, while the resulting supervision summaries are retained securely.

9. Recording of Teaching Sessions

Some seminars and teaching sessions may be recorded using Zoom so that enrolled participants who are unable to attend may view the session later. Participants are advised before any recording commences and consent is obtained as part of enrolment and confirmed at the beginning of recorded sessions. Recordings are available only to participants enrolled in the relevant program, are not publicly distributed, and are removed when they are no longer required. Where sessions involve detailed clinical case discussion, INSIGHT may choose not to record the session or may edit material where appropriate.

10. Confidentiality Within INSIGHT

INSIGHT is built on thoughtful discussion within a consistent learning community. Participants are expected to respect the confidentiality of personal reflections, supervision discussions and clinical material shared by colleagues. Confidentiality is an important professional expectation of participation. It is, however, subject to the legal exceptions outlined in this Privacy Policy.

11. Disclosure of Personal Information

We may disclose personal information:

  • with your consent or at your request;

  • to verify supervision or registrar requirements with AHPRA, the Psychology Board of Australia or another authorised organisation;

  • to trusted service providers engaged to support INSIGHT's operations;

  • where required or authorised by law; or

  • where necessary to prevent or lessen a serious threat to the life, health or safety of an individual or the public.

We disclose only the information reasonably necessary for the relevant purpose.

12. Service Providers

INSIGHT uses carefully selected third-party providers to assist with administration and delivery of its programs. These include:

  • Novonote – supervision recording and note preparation.

  • Zoom – online teaching and meetings.

  • Squarespace – website hosting and enquiry forms.

  • Microsoft 365 – email and correspondence.

  • OneCloud – secure document storage.

  • Halaxy – invoicing and payment administration.

We require service providers to implement appropriate security measures and to use personal information only for the services they provide to INSIGHT.

13. Overseas Disclosure and Cross-Border Data Flows

Some of our third-party service providers store or process information outside Australia. Squarespace website hosting infrastructure is based in the United States. Zoom services utilize global cloud networks and may process data internationally depending on network traffic routing.

Additionally, because we provide teaching and supervision services to international clients and practitioners, personal and professional information may be accessed or handled by authorised overseas participants (such as your designated international supervisor or peer practitioner) strictly for educational, administrative, or professional development purposes under Australian Privacy Principle 8. Where information is transferred or accessed overseas, we take reasonable steps to ensure it receives protection consistent with the Australian Privacy Principles.

14. Storage and Security of Information

We take reasonable steps to protect the personal information we hold from misuse, interference, loss, unauthorised access, modification or disclosure. Personal information is stored electronically across secure cloud systems.

Our cloud accounts utilise multi-factor authentication, administrative access controls, encrypted storage, and encrypted data transmission. Local physical devices used to access this secure cloud data are protected by strong security passwords and full-disk drive encryption. Regular backups are performed, and we partner only with reputable technology providers that maintain appropriate corporate security standards. No method of electronic storage or transmission is completely secure, and while we take all reasonable steps, we cannot guarantee absolute security.

15. Data Breaches

If a data breach is likely to result in serious harm, we will respond promptly in accordance with the Notifiable Data Breaches scheme under the Privacy Act. Where required, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC), investigate the incident and take reasonable steps to minimise any ongoing risk.

16. Retention of Information

We retain personal information only for as long as it is reasonably required for the purposes described in this policy or to meet our legal, professional and regulatory obligations.

In compliance with Australian professional and corporate data governance frameworks, all participant files, seminar records, and official supervision logs are retained for a minimum of 7 years from the date of last contact or service delivery. Audio recordings of supervision sessions processed via Novonote are securely deleted immediately following transcription. Video recordings of teaching sessions are normally retained on secure cloud infrastructure for up to two years before being securely deleted. When information is no longer required, it is securely destroyed or permanently de-identified.

17. Access and Correction

You may request access to the personal information we hold about you and ask us to correct information that is inaccurate, incomplete or out of date. Requests should be made using the contact details below. We aim to respond within 30 days. In limited circumstances permitted by law, access may be refused—for example where providing access would unreasonably affect another person's privacy or where other legal restrictions apply. If access is refused, we will explain the reasons and advise you of available avenues for review.

18. Anonymity

You may make general enquiries anonymously or using a pseudonym where practicable. However, this is generally not possible once you apply for or enrol in an INSIGHT program because we must verify professional identity, maintain supervision records and meet regulatory obligations.

19. Complaints

If you have concerns about how we have handled your personal information, please contact us in the first instance. We will acknowledge your complaint promptly and aim to provide a substantive response within 30 days. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC). If your concern relates to our professional conduct as registered psychologists, you may also contact the Australian Health Practitioner Regulation Agency (AHPRA).

We may update this Privacy Policy from time to time to reflect changes in legislation, technology or the operation of the INSIGHT Program. The current version will always be available on our website, and the date of the latest revision will appear at the beginning of the policy. Where changes are material, current participants will be notified.
